Billable hours per year

Billable hours are not working hours. A 40-hour week with plenty of admin, unpaid pitching, emails and gaps between projects might only produce 20–28 hours you can actually invoice. Pricing off your desk-time instead of your billable time is the single most common way freelancers underprice themselves — this tool exists to make that gap visible before you quote a number.

Why is my hourly rate higher than income ÷ working hours?
Because not every working hour is billable. Admin, proposals, marketing, unpaid pitches and time off all take up real weeks in the year without producing an invoice. If you divide your target income by the hours you're at work rather than the hours you actually bill, you will underprice yourself every single time.
What counts as a business expense here?
Anything the business spends money on that isn't your own income — software subscriptions, insurance, equipment, contractor fees, a portion of a home office. It should not include income tax or your personal living costs; those are covered by the target income and tax set-aside fields instead.
Is the tax set-aside figure tax advice?
No. It is a placeholder percentage you choose to set aside from every dollar billed so a tax bill doesn't come as a surprise. The right percentage depends on your local rules, structure and income level — confirm it with your own accountant or tax authority, not this calculator.
How do I choose a realistic billable-utilisation percentage?
Most freelancers and consultants bill somewhere between 50% and 80% of their working hours once you account for admin, sales and gaps between projects. If you've never tracked it, start around 65% and revisit the number after a few months of actually logging your time.
